ChatGPT is currently available to faculty and full-time staff in the pilot group on a first-come, first-served basis. If licenses are no longer available, you can request to be added to a waitlist.

If you are a department leader and would like to purchase additional licenses for your department or students, please submit an AI request form.

Eligible members of the pilot group can follow these steps to claim your license.

Request Your License (Opt-in)

1. Visit GU360 to claim your ChatGPT license by opting in. You will be asked to review and agree to the usage agreement and complete the brief guidelines course. 
2. Wait for a license to be assigned. This can take up to 24 hours.
3. Ensure mandatory GMS training is complete within 30 days of opting in.

Log In and Explore

Once your license is assigned:

4. Log in to your GU account. Ensure you are signed in to your official Georgetown University Google Apps account, not your personal Gmail.
5. Visit the portal at chatgpt.com.
6. Know the ground rules. Take a quick moment to review current policies and guidelines and support and resources.
7. Ignite your imagination and start prompting!

ChatGPT licenses are distributed on a first-come, first-served basis across campuses. If your campus’s allocated license pool is exhausted when you opt in, you will be placed on a waitlist and notified via email if a license becomes available.

Enterprise access to Google Gemini remains available to all full-time faculty, staff and students. You can opt in to Google Gemini via GU360.

Use Google Gemini for unlimited Flash use, seamless integration with your Georgetown Google Workspace (Docs, Drive, Gmail), multimodal analysis (audio/video/image) or deep research with NotebookLM.

Use ChatGPT for conversational AI support for larger projects, writing support or to build and test custom GPTs/Skills.

If you previously created a ChatGPT account using your @georgetown.edu email, follow these steps when you accept your invite:

1. Select the Georgetown University ChatGPT Edu workspace.
   
2. On the next screen, choose how to handle your existing data.
   

Paid Subscriptions: While your existing workspace will migrate, this may result in a feature downgrade if you currently utilize higher-tier or specialized paid licenses (e.g., advanced model access or high-consumption plans).

The pilot workspace does not currently support these high-tier/advanced model features, and once converted, users cannot automatically revert back to their prior individual license tier until additional consumption options or upgrades are implemented. Please review your current feature usage before opting into the pilot.

Opting into the Georgetown ChatGPT pilot license will prompt you to convert your account into the university’s enterprise workspace. While your existing workspace will migrate, this may result in a feature downgrade if you currently utilize higher-tier or specialized paid licenses (e.g., advanced model access or high-consumption plans).

Licenses can take up to 24 hours to be assigned. If more than 24 hours have passed and you haven’t yet received a license, please ensure that you have agreed to the usage agreement and completed the brief guidelines course as prompted upon registration. Please note that upon receiving your license, you must complete the mandatory GMS training within 30 days. 

OpenAI’s enterprise licenses require pay-per-use with credits to leverage its frontier models. There is no advanced licensing that provides a daily consumption quota for those models. UIS is developing a process to request and get financial approval to leverage credits and access these models. Access to these models will become available when the development is complete. 

Additional credit usage is not currently available. Over the next few months, we will roll out a credit consumption request process that can be paid for by a research grant or through departmental financial approval. Features that would require credits include OpenAI Codex, additional prompts above what is allocated by the base license and usage of the most advanced OpenAI frontier models.

The university is working on developing AI coding policies and procedures for use in the classroom, research and university operations. These policies and procedures aim to ensure data and security compliance. When these have been formally established, an announcement will be made for OpenAI Codex availability.

University Information Services is currently preparing Plugins to launch a few weeks after the pilot start date. OpenAI has also announced that Plugins will replace customGPT’s. When Plugins are made available users will be able to convert their customGPT’s to a Plugin.

Each public extension offered within Plugins will need to be reviewed and verified by University Information Services. You can submit your requests using the ChatGPT Plugin Extension Request form.

The initial set of licenses being offered is part of a pilot program intended to inform university decision-making prior to a broader, long-term implementation plan.

Currently, enterprise ChatGPT licenses are limited to select faculty and full-time staff in the pilot program. Students are encouraged to opt in to Google Gemini via GU360.
