Switching from PGi to Zoom Meetings or Personal Audio Conference

If you have been using PGi for conferencing, you can transition easily to Zoom by following the steps below to update your Zoom settings.

Switching from PGi to Zoom Meetings

Scheduled and recurring Zoom Meetings have Meeting IDs that will eventually expire. You can create a non-expiring Personal Meeting ID for yourself or any administrative NetID you own.

  1. Go to the Zoom at Georgetown page
  2. Click SIGN IN and then enter your credentials. (If you use Duo, go through the steps for authenticating with Duo.) Your Zoom profile is displayed.
  3. In your profile, perform the following: 
    1. Click Edit next to the Personal Meeting ID section. Select the option Use Personal Meeting ID for instant meetings.

    2. (Optional) Change your Personal Meeting ID to any 10-digit number you want (e.g., your cell phone or office phone number).

    3. Click Save Changes when you’re done.
       
  4. Click on the Meetings tab located on the left-hand side of the screen.
     
  5. Click on the Personal Meeting Room tab, and then click on the Edit this Meeting button. In the screen that is displayed, perform the following:
    1. Turn Video off for Host and Participant

    2. Under Meeting Options, make sure the options Enable join before host and Use Personal Meeting ID are selected. (The option Enable join before host allows participants to join a meeting even if the host has not yet joined.)

    3. Under Audio, select Both so that participants have the option of joining with the Zoom computer or smartphone apps. 
      Set audio option to enable people to call in to meetings via telephony or VOIP to be allowed
       
    4. Click Save when you're done. 
    5. (optional) Click the Copy the invitation link to copy and save the connection details for future use.

You can now start a Zoom meeting.  Your guests can join the meeting through the link in the connection details or by calling the dial-in numbers and entering your meeting ID.

 

 

Switching from PGi to Zoom Personal Audio Conference

  1. Go to the Zoom at Georgetown page
  2. Click SIGN IN and then enter your credentials. (If you use Duo, go through the steps for authenticating with Duo.) Your Zoom profile is displayed.
  3. Activate Zoom Personal Audio Conference by performing the following:
    1. Click on the Personal Audio Conference tab on the left-hand side of the screen. 
    2. Click on the link Enable personal audio conference

A screen will be displayed with your meeting settings and options for Zoom Personal Audio Conference. (Refer to the table below for a list and description of these settings.)

To join your conference, you and your guests will need one of the dial-in numbers and the Conference ID. The host will also need the Host Key.

Setting Description
Conference ID

Unique identifier that a host and participants must enter to join a meeting. The Conference ID is similar to the Personal Meeting ID in Zoom Meetings. Your Conference ID does not change, and is always available to you for any meeting you set up. Be sure to make note of your Conference ID before you start a meeting.

Global Dial-in Numbers

Displays domestic call-in numbers by default. (You can use either of these numbers to call in to a meeting if you're calling from the US.) Click on the Edit link to display a list of international call-in numbers; you can select any of these numbers to be included in your meeting invitation details.

Copy Invitation for Participants

You can click the "Copy the invitation" link to copy and save the connection details for future use.

Start Conference

Displays host controls in a Web-based user interface to manage your meeting. Note You can also use your phone's touch tone controls to manage your meeting.

Participant Password

Create a password for participants to enter when they join your meeting. (Optional)

Host Key If you are the host, the Host Key enables you to join your meeting. The host will need the Host Key to join the meeting. Enter the 6-digit number when prompted. When you enter the Host Key, Zoom will recognize you as the host.
