Printing Your Document Securely to Your Department Printer

If you have a document that contains sensitive information, you can use Xerox’s Secure Print feature to print your document. Secure Print enables you to print your document to a department printer and prevent others from viewing the contents by requiring that you enter a passcode at the printer before the document can be printed. 

System Requirements

  • Mac:  Mac OS X 10.5.x or later
  • Windows:  Windows 10 or later

Before You Begin

Make sure you’ve already added the printer to your Mac computer or added the printer to your Windows computer

Sending Your Document to the Printer (Mac)

  1. Open the Print dialog box in your application (e.g., Microsoft Word)
  2. In the Print dialog, select Xerox Features from the drop-down menu (located below the Orientation option). 
  3. Select Secure Print from the Job Type drop-down menu.
  4. In the Secure Print dialog, create your passcode (can be between 4 and 10 digits) and then re-enter your passcode to confirm it. (Important:  Be sure to record your passcode for your records since there will be no other record of your passcode.)
  5. Click OK. The Job Type changes to Secure Print
  6. Click Print when you’re done. 

You document has now been sent to the printer and you’re ready to release (print) your document using your passcode. At the printer, you’ll need to enter your passcode to release your document. 

Sending Your Document to the Printer (Windows)

  1. Open the Print dialog box in your application (e.g., Microsoft Word)
  2. In the Print dialog, click Printer Properties (link) or Properties (button). 
  3. In the Properties dialog, select Secure Print from the Job Type drop-down menu. 
  4. In the Secure Print dialog, create your passcode (can be between 4 and 10 digits), and then re-enter your passcode to confirm it. (Important:  Be sure to record your passcode for your records since there will be no other record of your passcode.) 
  5. Click OK in the Properties dialog. Secure Print is now displayed in the Job Type section. 
  6. Click OK in the Print dialog to send your document to print.

Your document has now been sent to the printer and you’re ready to release (print) your document using your passcode. At the printer, you’ll need to enter your passcode to release your document.
