Using Listproc
This course will show you the types of options that are included with a new ListProc, and the most commonly used configuration commands including List Options, Automatic/Default Settings, List Owner Responsibilities, Administration for List Owners (with Examples). There is also a listing of relative websites, tips, and common commands.
List Options
Certain settings can be chosen by the person requesting a new list (The Owner). These settings are designated by the ListProc Administrator when the new list is created. You must have a valid netid and password to request the creation of a list.
- LIST NAME: You can designate the first 18 characters of your list name. A ?-L? is automatically added at the end. This is set for you when your ListProc list is created.
- LIST PASSWORD: You set your own password. Passwords are case sensitive.
- OWNERSHIP: You can designate one additional owner with the initial request. You can add additional owners later. (See Add/Change/Remove owners)
- OPEN or CLOSED:
- OPEN - If the list is open anyone can subscribe themselves.
- CLOSED - List owners must approve subscriptions before they take effect.
- POSTING RESTRICTIONS - who is designated to send to the list.
- MODERATION: Yes or No
- ARCHIVING: Yes or No
- COMMENT: The comments you include will identify the purpose of your list and is what others will see if the join your list. Comments will be displayed at the bottom of the 'Welcome' message.
Default Settings
Certain settings are configured for you when your list is created.
- AUTO-DELETE-SUBSCRIBER: If a member?s e-mail address changes and he does not unsubscribe and then resubscribe himself with the correct e-mail address, ListProc will recognize that any bounced mail was caused by a bad address and delete the member from the list.
- ARCHIVE-TO-SUBSCRIBERS: Only owners and subscribers can request index and archive material pertaining to this list.
- DELIVERY-ERRORS-TO: Set so that the owner receives error messages.
- DIGEST: Set to go out daily at midnight. (Optional for Owner or Subscriber)
- Max messages per day will be set to 50 - This refers to the maximum messages sent to the list and includes error messages and bounces. The owner will receive a message when the list has reached the max.
- REPLY-TO-LIST: When a person replies to a message sent to the listproc everyone will receive the reply.
- REVIEW-BY-SUBSCRIBERS: Determines who can submit a review command for a list. If you type REVIEW in the body of a message, ListProc will send you a list of all members of the list.
- STATISTICS-BY-OWNER: Allows owner to issue a command for list statistics
List Owner Responsibilities
- Administration of the ListProc. (Following are the most common elements of administration.)
- Change list password.
- Add/Change & remove Owners.
- Monitoring for error messages.
- Change list configurations.
- Change Moderation, e.g., moderated to unmoderated.
- Assign/Change:
- Moderators - a person who approves messages sent to the list.
- Subscriptions Managers - a person who can only add and remove members to the list.
- Recipients of Error Messages - a person who is designated to receive error messages that come to the list; they should contact members who generate these error messages (by submitting invalid commands), and gives them the correct commands.
- Change the Welcome (?welcome?) message.
- Set Reply- to-list vs. Reply- to-sender.
- Set Send-by-all, Send-by-owner or Send-by-subscribers.
- Adding and deleting members.
- Keep a current record of list members. See ?Review?.
- **Keep lists active!! - After six months of inactivity, your list will automatically be deleted. Note: Class lists are deleted each semester.
- **Assign an owner if leaving campus for an extended period of time, e.g., sabbaticals.
- Follow the GU Acceptable Use Policy. This policy can be found at http://www.georgetown.edu/technology/use/use.html.
Administer your ListProc for List Owners Only
Configuration changes must be sent to the ListProc server: listproc@georgetown.edu.
- For each example assume the following:
- the message is addressed to listproc@georgetown.edu
- the subject line should be left blank
- the command is typed into the body of the e-mail message
- the password for the examples is XXXX and should be replaced by actual password
List Owners Configuration Commands - Sample Commands:
- Change list password.
- configuration lpclass01-l XXXX PASSWORD hoyasaxa
- Add/Change & Remove Owners. You can add up to 20 owners per list. If removing yourself as an owner, you must first add the new owner then remove yourself as owner.
- Remove owner
- Add new owner (in addition to current owners)
- Assign/Change Moderator: a person who can edit and/or approve a message before sending it to the list.
- Add Moderator who cannot edit a message sent to list for posting.

- Recipients of Error Messages
- To designate a person to receive error messages.

- To remove a person from the list of error message recipients (this does not work if delivery-errors-to is set to the default all owners). NOTE: In order to change the default recipient of errors from all list owners, you must use the delivery-errors-to option and designate at least one person.

- Adding and deleting subscribers.
- Get Archive messages.
- ?Index? command will give you a list of files archived for your list.
Index lpclass01-l
- ?Get? command will give you all of the emails sent to that list.
- Change the Welcome (?welcome?) message. A welcome message is appended to the bottom of the message that the listproc sends out to a person subscribing (or being subscribed to a list). This file can include specialized information for the list as well as web addresses for more information and any contact information that you may want to add.
- To edit Welcome send message to listproc@georgetown.edu using this command:

Important Information to remember:
- Assign an owner if leaving for sabbatical (inactive lists will be deleted after 6 months)
- Do not use any ?login? passwords - as listProc is not a secure mechanism
- Lists are created within 5 to 7 business days upon submitting web application
- Welcome messages go out to initial owners only, not owners added later
- Always keep your ?Welcome Messages? and ?Subscriber Confirmations?
- Add the & sign when commands are too long to fit on one line
- Owners must subscribe to their lists to receive messages
- Private lists require a password

- To postpone mail during a vacation: set lpclass01-l mail postpone

- ?Quiet? command. This will allow an owner to add or delete a user without notification being sent. This is good for deleting bouncing email addresses.
