Hoyanet Services: Setting up AUDIX Voice Mail
Follow the instructions below to set up your AUDIX voice mail account. If you and your roommates will have private voice mailboxes, be sure to set up the main mailbox first.
Single Shared Voice Mailbox
- Dial the voice mail access number, 7-TALK (7-8255).
- Enter your extension (the last five digits of your phone number) and press the pound (#) key.
Note: If you are calling from your own extension, simply press # without entering your extension.
- The first time you log in, there is no password assigned to your mailbox. When prompted for the password, press #.
- Press 1 and then record the names of the people who will be using this mailbox. When you are finished recording, press 1 again to have it played back for you. Next press # to approve the name announcement or 1 to re-record it.
- The system will then prompt you to create a voice mailbox password. Passwords must be at least three digits. Enter the new password you have chosen, followed by #. Confirm this password by re-entering the password, followed by #. Do not hang up.
Your voice mailbox is now ready for use. When you don’t answer the phone, users will hear the default system greeting: <the names of those sharing the voice mailbox> (recorded by you), followed by a computerized voice stating is not available.
If you would prefer to record your own greeting:
- Press 3 and then 1 to record a new greeting.
- Press a number key to assign a greeting number. Any single-digit number will work. You will be prompted to begin recording.
- When you have finished, press 1 again.
- Press 2 and then 3 to play back your recording. If you like it, press # to approve it. To erase and start over, press *D, press 1, record your message, and then return to step 3.
- To make this the active greeting, press 1. Hang up when you are finished.
Private Individual Voice Mailboxes
Each voice mailbox is assigned an extension-like number, or dummy extension, that allows you to log into your individual mailbox, a sub-mailbox of sorts. Each dummy extension consists of a single-digit number (excluding 1, 4, or 7), followed by the last four digits of your actual extension. For example, if your “real” extension is 4-0001 and you request 3 individual voice mailboxes, their dummy numbers will be 2-0001, 3-0001, and 5-0001. (You will never see a 1-0001, a 4-0001, or a 7-0001 used for a dummy extension.) In our example, 4-0001 would be used to record your central greeting.
To set up a password for the main mailbox and to record the greeting that tells callers which button to press to leave a message for an individual:
- Determine who will be using each of the dummy extensions. Callers wanting to leave a message for a particular individual will use the first number of that individual’s dummy extension.
- Dial the voice mail access number 7-TALK (7-8255).
- Enter your main extension (the last five digits of your phone number) and press the pound (#) key. If you are calling from your own extension, you may simply press # without entering your extension.

- Press 1 and then record the names of the people who will be using this mailbox. When you are finished recording, press 1 again to have it played back for you. Next, press either # to approve the name announcement or 1 to re-record it.
- The system will then prompt you to create the main voice mailbox password. Passwords must be at least three digits long. Enter the new password you have chosen, followed by #. Confirm that password by re-entering the password, followed by #. Do not hang up.
- Press 3 and then 1 to record the main greeting. This greeting should tell the caller which button to press to leave a message for each individual. (Using our example from above, pressing 2 will leave a message for the person whose dummy extension is 2-0001.)
- Press a number key to assign a greeting number. Any single-digit number will work. You will be prompted to begin recording.
- When you have finished, press 1 again.
- Press 2 and then 3 to play back your recording. If you like it, press # to approve it. To erase and start over, press *D, press 1, record your message, and then return to step 9.
- When you have recorded a message you like, press 1 to make it the active greeting. Hang up when you are finished.
The main mailbox is now ready. Its only purpose is to direct callers to the individual boxes. Messages cannot be left in the main box, but you will need the password if you ever need to change your main announcement.
To set up your individual mailbox message, follow the steps in Single Shared Voice Mailbox, above, using your personal dummy extension instead of the main extension.
