What is Eventbrite?

Eventbrite is a Web-based event and ticketing system that enables individuals and groups to set up free and ticketed events. Georgetown maintains a license with Eventbrite for discounted fees when creating paid events. There is no charge to use Eventbrite for free events if you are under the university contract.

Eventbrite can be used to create and manage any type of event that would benefit from registration or ticket sales. Georgetown departments have used Eventbrite to manage academic conferences, live performances, dances, sports events, hiking trips, and training classes. Events can be in-person or completely online (presented through Zoom). There is no limit on the size of the event or revenue generated through ticket sales.

Eventbrite is available to all current students, faculty, and staff.

What can Eventbrite do?

Eventbrite offers the following:

  • Ability to handle credit card sales while meeting the technical security needs as defined by the Office of Financial Services and the University Information Security Office.
  • Quick and easy method to host events and facilitate online and in- person sales and distribution.
  • Scalable from small to large campus activities.
  • Web-based solution, accessible by tablets and smart phones.
  • Real-time monitoring and analytics to manage an activity or event.

Is Eventbrite the right tool for me?

Eventbrite can be used to manage both free and paid events of any size.

How do I get started with Eventbrite?

Before you can use Eventbrite, you will need an Eventbrite account. It is preferable to have an administrative NetID for the account so that events will not be lost if an individual leaves the university. To have an account created, send an e-mail request to eventbritehelp@georgetown.edu. Once you have an Eventbrite account, you can create your event.

Is there a cost to create an Eventbrite event?

There is no cost to create an event. Events are also free if you will not be charging people to attend your event. However, if you will be charging people, Eventbrite adds two fees to the ticket price:

  1. An online service fee that is 2% of the ticket price + $0.99 per ticket.  This fee is capped (will not exceed) at $7.95 per ticket.
  2. An Eventbrite payment processing fee of 3% of the ticket price.

Event creators can choose to absorb these fees (reduce the amount they receive from ticket sales), split the fees 50/50 with the ticket buyer (slightly increasing the ticket cost for the buyer), or pass the fees on completely to the buyer.

Example 1:  You wish to charge $4.00 per ticket to your event.  Eventbrite will add a $1.07 online service fee and a $0.12 payment processing fee to the ticket cost.  You can absorb the fees, receiving $2.81 per ticket, split the fees so the buyer pays $4.60 and you receive $3.41, or pass the fees on to the buyer so the full ticket price is $5.19.

Example 2:  You wish to charge $1,000 per ticket to your event.  Eventbrite will add a $7.95 online service fee and a $30.00 payment processing fee to the ticket cost.  You can absorb the fees, receiving $962.05 per ticket, split the fees so the buyer pays $1018.18 and you receive $981.83, or pass the fees on to the buyer so the full ticket price is $1,037.95.

Who is eligible to use Eventbrite?

All current Georgetown students, faculty, and staff are eligible to use Eventbrite. 

What types of event(s) can I create in Eventbrite? Any restrictions on the type of event I can create?

You can only create events in Eventbrite that involve either in-person or online attendance. While you can add sales of optional items (T-shirts, coffee mugs, meals) to an Eventbrite registration, Eventbrite cannot be used as a substitute point of sale system for items. Eventbrite absolutely cannot be used to sell entries for games of chance, such as raffle tickets. Any Eventbrite events under the university account that are found to solely be point of sale item sales or sales of raffle tickets will be taken down and all orders refunded to the buyers. 

Is there a limit to how many people I can invite to an event in Eventbrite?

There is no limit to the number of people you can invite to your event. 

Can I invite non-Georgetown people to my event, even if the event is hosted at Georgetown?

Yes.

Can I make my Eventbrite event private?

Yes. When you create your event, you can choose from various privacy settings

How can I advertise my Eventbrite event?

After you create an event, you will receive a URL that you can send out to all persons you want to invite to your event. Eventbrite includes mailing list capabilities to mail invitations and keep attendees informed about your event status. Georgetown event organizers are also eligible to use the built in promotional tools for events that are open to the public.

Can I use Eventbrite on Windows and Mac computers?

Eventbrite is a web based service that works on any computer, tablet, or mobile device. 

Can I use Eventbrite on my mobile device?

Yes. Eventbrite offers an app for both iOS and Android devices. 

How secure is Eventbrite?

Eventbrite is secure enough to accept credit card payments. Georgetown also contracted with Eventbrite to provide data protection.
