How to Use Windows 2000: Setting Up a Network Printer

Preparation

In order to install a network printer, you must know your printer's Manufacturer, Model Name, and IP Address

  • The Manufacturer and Model Name can be found on the printer case, an example is HP LaserJet 4000N .
  • The IP Address can be found on a label attached to the printer. An example of the IP Address is 141.161.888.999.

If your printer does not have a label indicating the IP Address, or you can't identify what model it is, please call your Help Desk.

 
 

Setting Up a Network Printer

  1. Click on the Start button, then click Settings, then click Printers.

  1. Double-click the Add Printer icon. This will start the Add Printer Wizard.

  1. Click on the Next button to begin the wizard.
Click Start then Settings then Printers
 
  1. Click Local printer. Make sure Automatically detect and install my Plug and Play printer is not checked.

 

  1. Then click on the Next button.

  1. We will create a new port for your network printer. Click Create a new port.

 

  1. Beside Local Port, click on the down arrow, then click on Standard TCP/IP Port.

 

  1. Click on the Next button.
Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. A new window will open. Click the Next button.
Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. You must now type your printer's IP Address in the Printer Name or IP Address field.

 

  1. The Port Name will automatically be entered when you enter the IP Address. Do not change the Port Name.

 

  1. Click the on Next button.

 

Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. Click on the Finish button.

  1. After a few seconds, you will return to the Add Printer Wizard window.

 

  1. You must now select the printer's manufacturer and model.

 

  1. Click the printer manufacturer by scrolling down the Manufacturers list on the left.
Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. AFTER you select a manufacturer, a new list of printers will be available on the right.

 

  1. Click the printer model by scrolling down the Printers window. 

 

  1. If your printer model is not listed, please insert your printer CD and click on Have Disk.

 

  1. If your printer is listed but you have more than one option for your printer model, please select the model with PS, if available.
Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 

Note: If you do not have the CD and your printer is not listed, please call your Help Desk.

 
  1. You will be prompted to assign the printer a Name. You can use the default name, or add more info to indicate the printer location, such as My Office, Hallway, Foyer, Room 222, etc.

 

  1. Click on the Next button.
Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. You will be prompted to share the network printer. Do not share the network printer. 

 

  1. Click on the Next button.
Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. When prompted to print a test page, click Yes, then click on the Next button.

  2. Check your network printer to make sure your page printed.

Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
 
  1. Congratulations! If your test page printed, you have successfully installed the network printer. Click on the Finish button to complete the Add Printer Wizard.

Note: If you had problems and did not get a test page, please call your Help Desk.

  1. Windows will ask you to confirm if the test page printed. Click on the OK button. 

 
  1. You will return to the Printer window, and you will see a new icon with the printer name that you just created.

  2. The black checkmark indicates that this printer will be your Default Printer. If you prefer a different printer as the Default Printer, right-click on the desired printer, then click on Set as Default.

Click Create New Port, then use the dropdown to select Standard TCP/IP Port.
