University NetID Services: If You Have More Than One NetID

Background
NetIDs are created for every person active in any of the core business systems--Genesys for Employees, SIS for Students, Millenium for Alumni, MedStar Genesys for GUH Employees--based on Social Security Number (SSN) or its proxy, the Student IDentification number (SID).

Causes
Second, and even third, NetIDs are created when multiple records appear in the core business systems. These multiple occurrences can be the result of a data entry error, the presence of multiple fabricated ID numbers or different ID numbers existing in different core business systems. The archetypical example of the third situation is when an international student gets a valid US ID number for an on-campus job and already has a fabricated ID number in SIS.

Solutions
The process of getting back to only one active NetID starts with correcting the situation in the core business systems that created the multiple NetIDs in the first place. Requesting a swap before the core business systems are corrected only creates a different kind of problem. Feel free to write the NetID Office, netid @ georgetown.edu, for an evaluation of the specifics of your NetID situation and direction on your next steps.

What should you do?
The actions you take to consolidate your NetIDs are determined by your affiliation:

  • If you are a Student or an Employee/Student

    You should visit the Registrar's Office with US government-issued proof of your valid SSN and ask them to overwrite your fabricated ID numbers  with the valid one.

  • If you are an Employee

    Chances are Human Resources has already corrected your Genesys entry--this is often the cause of the second NetID. Please refer to the Consolidation Form section below.

Consolidation Form

If you are a Student or Student/Employee and have not yet been to the Registrar's Office, you can download this form to request a NetID consolidation from them. Once the SIS records are consolidated you can bring the form to the UIS Service Desk in St. Mary's to have the NetIDs swapped, or if you prefer, you can also fax it to the UIS Help Desk at 202-687-1162.
If you are an Employee, you can simply fax your GOCard to the HelpDesk with a note indicating all of your NetIDs, the NetID you wish to keep, and the 9-digit GOCard number starting with 8 that appears on your physical GOCard.

If you send a fax, please be sure to attach a legible copy of a photo ID (it helps to copy/fax the ID on the lightest setting--or on the photo setting if your copier/fax machine has that option.)

Timelines

As soon as the swap is made, students will have access to Student Access+ using their original NetID and password. Your e-mail address will appear in the online directory and GUMail address book the following day. Blackboard access can take two days to revert to the original NetID.

Benefits of one NetID
People who have two NetIDs suffer a range of problems:

  • The e-mail address they are using does not appear in the GUMail address book.
  • They must use the second NetID to log into Blackboard.
  • They could lack access to the building they work in, or the dorm they live in, or access to Yates or dining halls and a variety of other problems could occur in attempting to use their GOCard. If they have multiple ID numbers in the core systems, then they will only receive the privileges associated with the ID number/affiliation upon which their card is based.

The list goes on and on. We encourage you to take the necessary steps to have your NetIDs consolidated.
