Frequently Asked Questions about Institutional Purchases

Departmentally Purchased Computers

  1. Please refer to the system recommendations listed online on our Required Specifications for Faculty and Staff Computers page.  This will help you choose the online store from which you should purchase your computer.

  2. Obtain a price quote for the computer system(s) you wish to purchase by selecting and customizing your desired system(s) on the appropriate website.  During this step, you will have the opportunity to purchase software as part of the computer system.  Though it is generally cheaper to purchase software with your system, many programs are available free of charge to faculty and staff through campus license agreements.  Please refer to the UIS Software Database to see which software you can obtain from Georgetown at no charge before purchasing any software.

2a.

If you are purchasing from the Dell web site, click on the "Save E-quote" button after you select your system. For "E-quote Name", enter "Hoya.", which enables the Purchasing department to easily locate your order online.

2b.

If you are purchasing from the Apple web site, click on the "Save for Later" button after you select your system.  When asked to create an account, use your own email address, but enter "Hoya" for your first and last name. This will enable the Purchasing department to easily locate your order online.

  1. Print out a copy of your price quote from the web site for later use. If you have questions or need assistance with obtaining a quote you may contact Leona Gray (202-687-4473, Fax: 202-687-1505, lsg2@georgetown.edu).

    To order the system:

GU Purchase Order. Include your print-out of the price quote with a Purchase Requisition Form (GU Purchase Order) and submit both to  Elizabeth Goodloe at Suite 2000, 3300 Whitehave St., N.W., (Phone: 202-687-6042 or Fax: 202-687-2506) in the GU Purchasing Department.

PLEASE NOTE:  The purchase of a non-standard computer system may result in the loss of on-site support for that computer, or the institution of fee-based service.  If you have a question about what constitutes a "standard system," contact Leona Gray at (202-687-4473, Fax: 202-687-1505, lsg2@georgetown.edu) of University Information Services.

  2. The computer system will be shipped to you directly.  If you are interested in the status of an order already placed, you can contact Elizabeth Goodloe in Purchasing at Suite 2000, 3300 Whitehave St., N.W., (Phone: 202-687-6042, Fax: 202-687-2506).
  1. When the order arrives:

If you coordinated the order with Leona Gray (202-687-4473, Fax: 202-687-1505, lsg2@georgetown.edu), please contact her when the order arrives so that she can notify a UIS Technology Support Services (TSS) team for configuration and installation.

5a.

If you ordered directly and your departmental computers are supported by UIS Technology Support Services (TSS), please call the UIS Help Desk at 202-687-4949 to place a TSS service call to install and configure your new system.

5b.

If you ordered directly and TSS does not support your department, please contact your local system administrator for installation and configuration of your new system.

Centrally Funded Computers
Centrally funded computers are available for new faculty members in new full-time positions with departments that are a) supported by TSS and b) not solely funded with outside grants.  If you are not sure whether you qualify for a centrally-funded computer, you may contact Leona Gray of University Information Services (202-687-4473, Fax: 202-687-1505, lsg2@georgetown.edu).

  1. Contact Leona Gray (202-687-4473, Fax: 202-687-1504, lsg2@georgetown.edu.) to place an order for any centrally-funded computer.
  1. If we have a computer already in stock, a TSS team will install it as soon as possible.
  1. If we do not have a computer in stock, we will order one for you. We normally order the Dell OptiPlex 745 desktop, the Dell Latitude D620 or D820 notebooks, and the Apple iMac under this program. If you need a computer with additional features, you are allowed up to $1,200 for this purchase. Any additional costs will have to be charged to your department through a departmental cost center.  If you currently have a 17" flat panel monitor or larger, these funds will not cover the purchase of a new monitor.
  1. All centrally-funded computers are shipped directly to UIS. When the order arrives, Leona Gray will contact you. She will also coordinate the delivery, installation and configuration of your system with UIS Technology Support Services (TSS) or your local system administrator. If you have any questions during this time, please contact Leona. (202-687-4473, Fax: 202-687-1505, lsg2@georgetown.edu.)

Frequently Asked Questions about Institutional Purchases

  • Our computers are due for replacement.  Who do we contact?
Please see our Replacement Cycle web pages.

  • What kind of computer should I purchase?
UIS has configured several standard computers that are sufficient for most users. Information on hardware and software standards can be found on the Required Specifications page.

Most office users should purchase the Dell OptiPlex 745. Notebook users may choose from the Dell Latitude D620 or Latitude D820 notebooks. For information on these models, please visit the Dell online store.   If you need enhanced video features, such as digital video editing, a Dell Precision Workstation might be a better choice for you.  Apple users have several models to choose from. Information on those models may be found at the Apple online store.

If you are not sure about your options or if you have technical questions, please contact Leona Gray (202-687-4473, Fax: 202-687-1505, lsg2@georgetown.edu).

  • What if I purchase a computer that is not an OptiPlex, Latitude, or Apple?
Centrally-funded computers must follow the ordering standards. If the computer is departmentally-funded, and it is not a standard computer system, you will have to pay Georgetown University $75.00/hr for any future on-site hardware support.  We strongly advise against this and would be glad to help you obtain information on a comparable computer that fits our standards and your needs.
