GUMail: How to Manage Your E-Mail Quota

Quota Management Each GUMail Faculty and Staff account is provisioned with a limited amount of server space for storing messages. This quota is set at 256 MB for most faculty and staff.

It is important for you to manage your GUMail account so that you do not exceed the limit of your assigned quota. If you reach your quota, you will not be able to receive new e-mail until you free up space in your account by deleting the larger messages.

In general, it is easiest to manage your quota by keeping track of the larger messages that you receive. Generally, larger messages will contain file attachments or photos and images. When appropriate, delete or move larger e-mail messages to a local folder.

How to check your quota

You can check your quota usage any time by logging into GUMail Webmail and viewing the quota summary bar at the top of the screen.  


How to free up space if you are at or near your account quota

  • Empty your Trash folder: Messages in the Trash and Deleted Items folder count toward your quota!

  • Review and Delete Unnecessary Sent Mail: Keeping copies of every message you send can be very costly in terms of space, especially if you send attachments.

  • Move mail to your Hard Drive or a Network folder: If you are using an office or home computer, use Local Mail folders to store messages. You can place yoiur local mail on your own computer or the network drive. These messages will no longer count against your quota.

What do the quota notifications mean?

If you are at or above 90% of your quota, you will receive an e-mail message. This message indicates that you have exceeded 90% of your quota. When you receive this notice, you may be at 91%, or you may be at or over 100%. 

  • You will also receive a pop-up alert when you exceed 90% of your quota.
  • To avoid the loss of any mail, you should clean your account as soon as you receive a message or the over quota pop-ups start appearing.
 

What happens if you are near your quota?

  • Small messages may still come through, but large messages might not (it depends on how much space you have left).

 

  • It doesn't matter if the small messages arrive after the large ones; GUMail will keep packing in whatever fits and returning messages that don't to the sender.

 

  • This will continue until you reach your quota limit.
  • If you receive a message that won't fit, the person who sent it will get a note letting them know the message wasn't recieved bedcause your account is over quota.

 


What happens if you exceed your quota?

When you reach or exceed your quota, you will not be able to receive any new e-mail messages until you free up space in your e-mail account.  Once your quota is met or exceeded, the system will immediately return all messages to the sender.


What happens after you free up some space?

Messages will resume being delivered to you once you have freed up space in your account.  Any messages sent to you while your account was over quota were returned to the sender and must be resent for you to recieve them.
