HOW TO USE OUTLOOK 2003 WITH GUMAIL: CREATING A PROFILE FOR CALENDAR PLUS E-MAIL

Recommended For: This method is best for those who want to use MS Outlook for both e-mail and calendar.  The Outlook profile that is created will connect to the GU Mail system and the GU Calendar system. This is the recommended procedure to create an MS Outlook profile that will synchronize a handheld device with the GU Calendar. 

Preparation: To complete this installation, make sure that you have the latest copy of the Oracle Connector for Outlook software. The most recent version is 9.0.4 as of 01/01/2006. You can download a copy of the software online from Hoya Computing. Go to the Software Database, login with your Georgetown NetID and password, then select the Oracle Connector for Outlook software.

The installation steps below will take about 10-15 minutes.


MS Outlook 2003 - Creating a GU Calendar PLUS GU Mail profile

1. Double-click the file CON_OUTLOOK_904.exe.


2. A new installation window will open. Select YES to install the Oracle Connector for Outlook.


3. A Welcome screen appears, select NEXT.


4. Enter your Name as UIS and Company as Georgetown University, then select NEXT.


5. You will be prompted to select a second language, select NEXT to continue.


6. Select NEXT to install the files.


7. You will be prompted to create a new profile, select NEXT.


 

8. Your new profile will automatically be named Oracle Connector For Outlook, select NEXT.


9. Make sure that Corporate is selected as the account type, select NEXT.


10. Enter the following

  • SERVER NAME = calendar.georgetown.edu
  • ACCOUNT NAME = your NetID
  • PASSWORD = your NetID password

Select NEXT to continue


11. Enter the INCOMING MAIL SERVER as imap.georgetown.edu, then select NEXT.


12. Enter the ACCOUNT NAME and PASSWORD as your NetID and password, then select NEXT.


13. Enter the SMTP configuration

  • UN-check the box for I DO NOT YET HAVE AN SMTP ACCOUNT
  • Enter the OUTGOING MAIL SERVER as smtp.georgetown.edu
  • Check the box for THE SERVER REQUIRES AUTHENTICATION
  • Check the box for USE SAME SETTINGS AS MY INCOMING MAIL SERVER

Select NEXT to continue


14. This setting depends on whether you are using a laptop or a desktop PC.

A. Desktop PC

  • Leave this box UN-Checked
  • select NEXT to continue

B. Laptop

  • Check the box for I WILL USE THIS COMPUTER WHILE NOT CONNECTED
  • UN-check the box for CHOOSE A CONNECTION TYPE NEXT TIME YOU LOG ON
  • select NEXT to continue


15. You will be prompted to confirm your selections, select NEXT to continue.


16. UN-check the box for YES I WANT TO REVIEW THE README FILE.

Select FINISH to complete the installation. The installer will close in about 20 seconds.


17. In the final steps, we must access the profile and assign a secure port for the incoming e-mail server. From the main Windows desktop, select START - CONTROL PANEL - MAIL.


18. Select the E-MAIL ACCOUNTS button.


19. Make sure that VIEW OR CHANGE EXISTING ACCOUNT is selected, then click NEXT.


 

21. Your new profile should be highlighted. Select CHANGE.


22. Select the IMAP4 tab at the top.


23. Select the ADVANCED button.


24. Place a check mark next to THE SERVER REQUIRES A SECURE CONNECTION.

Select OK several times until you close and exit to complete the setup.


25. Open MS Outlook to test your new profile. The first time you open your new profile, you may be prompted to select the proper NODE for your GU Calendar account. You should make your selection according to your campus affiliation (enter MAIN, MEDLAW, or STUDENT).


Congratulations! You have successfully completed installing the Oracle Connector for Outlook. You now have a new MS Outlook profile. Please open MS Outlook to see if your calendar appointments appear properly. Test your e-mail account by sending yourself a message.


Important! Once you have created your MS Outlook profile, you should follow the recommended settings for MS Outlook.
