HOW TO USE OUTLOOK 2003 WITH GUMAIL: SETTING ACCOUNT PREFERENCES

Recommended configuration settings, options, and preferences for MS Outlook 2003

Summary - In the next few steps, we will: 1) disable the reminder 'on' feature when creating new calendar appointments; 2) set the email and calendar clock to our time zone; 3) automatically empty deleted items from the trash folder without warning; 4) assign MS Outlook as the default email program on the local PC; 5) disable the Auto-Archive features; 6) disable the MSN Instant Messenger features; and 7) disable the calendar reminder popup windows. This will take less than 5 minutes.  

Preparation - Make sure that you have MS Outlook 2003 installed. Create your MS Outlook user profile. Open MS Outlook 2003.

1) Open the Options - PREFERENCES Menu as follows

a. Select TOOLS-OPTIONS from the main menu

 

b. A new OPTIONS window will open under the PREFERENCES tab

c. UN-Check the DEFAULT REMINDER check box

d. Select the CALENDAR OPTIONS button. A new menu will appear.

e. Select the TIME ZONE button. A new menu will appear.

f. Enter EST as the current time zone label

g. Set the TIME ZONE as GMT-5:00 Eastern Time (US & Canada)

h. Make sure that ADJUST FOR DAYLIGHT SAVINGS TIME is checked

i. Select the OK button until you return to the PREFERENCES tab

2) Enter the Options - OTHER menu with the TAB on the top right

a. The OTHER options menu will appear

 

b. Place a check mark next to EMPTY THE DELETED ITEMS UPON EXITING

c. Place a check mark next to MAKE OUTLOOK THE DEFAULT PROGRAM FOR EMAIL, CONTACTS, AND CALENDAR

d. Select the AUTO ARCHIVE button. A new window will open.

 

e. UN-Check the RUN AUTO ARCHIVE EVERY XX DAYS button

f. Select OK until you return to the OTHER tab

 

g. UN-Check the ENABLE THE PERSON NAMES SMART TAG box

h. Select the ADVANCED OPTIONS button. A new window will open.

 

i. (Optional) Select the BROWSE button to indicate which Outlook component will launch when you initially open MS Outlook (the recommended setting is EMAIL, CALENDAR, or CONTACTS)

j. UN-Check the WARN BEFORE PERMANENTLY DELETING ITEMS box

k. Select the REMINDER OPTIONS button. A new window will open.

 

l. UN-Check the DISPLAY THE REMINDER box

m. Select the OK button until you exit MS Outlook 2003


Congratulations! You have successfully configured MS Outlook 2003 - Remember to close Outlook and then restart it to see your new preferences take effect.
