Setting the hours during which you're available
Setting date and time formats

Setting the hours that are displayed, the time interval, and whether weekends are displayed

  1. Click on Tools; this will bring up a menu.

  1. Click on Options.
  1. This will bring up the Options window.

  1. On the left-hand side, click on the plus sign (+) beside Agenda, then click on Display.

  1. To change the time period your agenda covers each day, click on the Arrows to the right of the Start and End boxes (or you can click on the clock buttons to bring up a timeline).

  1. You can change the time intervals that your day is broken up into. Just click on the down arrow beside Interval. Then click on the interval of your choice.

  1. You can choose to display Saturday or Sunday by checking/unchecking them.

Setting the hours during which you're available

These setting are used by the Suggest Date/Time function to determine when you're available for meetings (see Using the Suggest date/time feature for more information).

  1. On the left-hand side, click on the plus sign (+) beside Scheduling, then click on Hours.

  1. You can set your normal and extended hours for each day individually, or you can apply the same hours to all days by clicking the Apply to all button.

For example, if you come in early and leave early every Tuesday, you would probably want to set different Normal (and Extended) hours for this day. If you come in and leave at the same time every day, you can just use the Apply to all button.

  1. If you want everything outside of your normal hours to appear gray in your agenda, click on Gray outside normal hours.

Note: This is just a visual guide; people can still invite you to meetings during grayed out hours.

Setting date and time formats

  1. In this window you can choose the way that dates will appear. You can also choose between a.m./p.m. vs. 24-hour time.

  1. When you have made all your changes, click on the OK button.
