It is possible to export your calendar data to another person or calendar account. You can even send appointments and data to someone outside the GUCalendar system (providing that person uses another Internet-standard calendar program). |

Exporting a vCalendar File |
| |
- Open Oracle Calendar (see Signing in if you need help with this).
|

- Click on File. This will bring up a menu.
- Click on Export Data . . .
|

- This will bring up the Export Utility window.
- Click on VCalendar file, then click the Continue button.
Note: vCalendar formatting is preferable to iCalendar formatting. When importing a vCalendar file, you will be asked if you want to accept appointments that cause conflicts. The iCalendar format does not provide you with this option. |

- This will bring up the Export vCalendar file dialog box.

- Under Export:, make sure a checkmark appears beside each type of agenda item you would like to export.
- Under Period:, click on a time period that you wish to export. You have three choices:
- Range: You may enter a set of inclusive dates to be exported.
- All: Your entire calendar will be exported.
- Custom: You can indicate how far into the past or future you would like time period to extend.
Note: Including a longer time period (and more events) will make your file bigger.
- If you also wish to export another person's agenda information, you should add them under People/Resources. You will only be allowed to export data that you have a right to access. A separate file will be created for each individual whose data is exported.
- Click the Browse button to choose the location to export the file.

- Click on Desktop in the left-hand side of the window.
- We recommend that you name your file to reflect the time period you're exporting.
- Then click on the Save button, then click on the OK button save the file to your Desktop.
Note: This may take a few minutes to complete, depending on the number of appointments in your calendar and the speed of your computer. |

- Click the OK button in the confirmation message pop-up window.

- You may now attach your file to an e-mail. The recipient can import the file into their own calendar.

Importing a Calendar File |

- Click on Import Data . . .

- You will be presented with the Import Utility window.
- Double-click the file type that you wish to import.
If the file name ends in .vcs, it is a vCalendar file
If the file name ends in .ics, it is an iCalendar file. |

- You will be presented with the Import file dialog box.
- Under Import, make sure checkmarks appear only beside those items you wish to import.
- Under Period, click on the time period that you wish to import.
Note: This will not be calculated for you, so if you are unsure of the date range that has been sent to you, or do not wish to import a restricted period, click on All.
- Range: Selecting this will only import data for the date range you specify. Even if the sender sent a wider range of dates, those not included in your range will be ignored.
- All: This will import all of the data that was sent to you.
- Custom: Select how far into the past and future you wish to import data. Anything that falls outside of this time period will be ignored.
- Under File Name, click on the Browse button, find the file you want to import, then double-click on it.

- Click on the OK button to begin importing your file.

If you are importing a vCalendar (.vcs) file, you will be prompted whenever there is a conflict.
If you are importing an iCalendar (.ics) file, any imported conflicting appointments will be skipped. |

- You'll receive a notice when all data has been imported.

Exporting a Calendar Summary |
|
A calendar summary is a text file that lists your events and includes some minimal details about them. This allows anyone (with or without a calendar program) to view your agenda. Calendar summaries are useful if people would like to know your itinerary but don't want to add your appointments to their own calendars. |

- Click on File. This will bring up a menu.
- Click on Export Data . . .

- This will bring up the Export Utility window.
- You now have a choice: you can choose either Activity by date, or Activity by person.

Activity by date: The output is sorted with the date as the primary determining factor. If agendas are exported for more than one individual, each individual's events for the same day will be listed next to each other. |

Activity by person: The output is sorted with the individual as the primary sorting factor. If agendas are exported for more than one individual, each individual's entire agenda will be written out one after the other. |

- Double-click either Activity by date - text file or Activity by person - text file.

- You will be presented with the Export file dialog box.
- Under Export:, make sure a checkmark appears beside Meetings, Day Events and Daily Notes.
- Under Period:, click on the time period that you wish to export.
- Range: You may enter a set of inclusive dates to be exported.
- All: Your entire calendar will be exported.
- Custom: Select how far into the past and future you wish to import data. Anything that falls outside of this time period will be ignored.
- If you wish to export other people's agenda information, you should add them under People/Resources. You will only be allowed to export data that you have a right to access. The data for all individuals selected will be combined in the manner described above.
- Under File name:, Type a file name that describes the data you are exporting. Your file name must end with a .txt extension. Click on Browse if you would like to save the file to a location other than C:\.
- Click on the OK button. You will receive confirmation that the data was transferred. You can now open the exported file in any word processing software.
