Using the Check conflicts feature

When creating a new meeting, you may want to make sure that everyone is available.

 
  1. In the New Meeting window, add the people (or resources) you want  to invite. 
 

 
  1. Click on the Check conflicts button. If there are any conflicts, this will bring up the Details of Conflict window.
 
  1. If there are any conflicts, you'll be told who can't make it. Click on each person's name and you will be given any available information about why they can't attend. When you've reviewed the information, click on the OK button.

 

  1. This will bring you back to the New Meeting window.
 
 

Using the Suggest date/time feature

 
  1. To find a time when people are free, click Tools, then click on Suggest Date/Time.
 
  1. This will bring up the Suggest Date/Time window.

 

  1. Select your target dates and times, then click the List suggestions button.
 

 

  1. You'll be given a list of dates and times when your invited guests can make it. Click on the one you want, then click on the OK button.
 
 

Using a Group Agenda to check for conflicts

 
 
  1. To find a convenient time for a large number of people, click on the Advanced, then click on Open Group View.
 
  1. This will bring up the Group Agenda window.
 
  1. You'll be shown the times when everyone is available. (In this particular case, everyone is free at 12:00 pm).
