You can use these instructions to set the access rights that specific people have in your own calendar, for a resource, or for any calendar to which you've been made a designate. |

Assigning designate rights |
- Sign in to your account (See Signing-in, Signing-in as a Resource, or Opening an Agenda as a Designate if you need instructions.)

- Click on Tools.
- In the submenu that comes up, click on Access Rights.

- The Access Rights dialog box will appear. Designate will be the first tab available, it is located on the upper left corner.

- Click on the Designate tab
- Type the person's name as it appears in the Georgetown Directory.
- Click on the green checkmark button.

- This person's name will now appear below "Default: any unlisted person" in the Access Rights window.

- Click on the person's name to highlight it.

- You will now have three options:
- Full designate rights: If you check this, the individual can enter your resource and perform all operations as if it were their own resource.
- No designate rights: The individual cannot enter your resource as a designate at all.
- Partial designate rights: If neither of the two check boxes ( "Full designate rights," or "No designate rights") are selected, you may determine which types of entries (or tasks) the individual can modify on your behalf.

- Your options for Partial designate rights are as follows:
- Modify: The individual acting as designate can make appointments in your resource's name, accept and reject appointments for your resource, and reschedule appointments for your resource.
- View/Reply: The individual acting as designate can see the appointments that exist in your resource and accept or reject appointments that have been sent to your resource. They cannot make appointments on behalf of your resource, and they cannot reschedule appointments.
- View Times Only: The individual acting as designate can see that certain times are scheduled out, but cannot take any actions on this type of appointment.
Note: To set partial designate rights, double-click on Full designate rights. This will make all the options available.
Note: The Personal and Confidential entry types only function if you mark appointments as such. |

- When you're done setting designate rights, click the OK button to store them. They will become operational immediately.

Assigning viewing rights |
- If it's not already open, open the Access Rights window (see steps 1 - 3 if you need help with this).

- Click on the Viewing tab
- Type the person's name as it appears in the Georgetown Directory.
- Click on the green checkmark button.

- Check the appropriate checkboxes to establish how the person views this calendar.

| |
- View Entries: The designate can see detailed information about the meetings that are scheduled.
- View Times Only: The designate can see that certain times are scheduled out, but cannot see details about the appointments.

- Click on the Viewing Tasks tab. Check the appropriate checkboxes to establish how this person views any tasks associated with the resource.

- When you're done setting viewing rights, click the OK button to store them, or (if you wish) click on the scheduling tab to set scheduling rights.

Assigning scheduling rights |
- If it's not already open, open the Access Rights window (see steps 1 - 3 if you need help with this).

- Click on the Scheduling tab.
|
| |
- This setting is particularly important for resources.
- If you wish to allow default users to reserve the resource (or to invite you to meetings), make sure there is a checkmark beside Can Invite You To Entries.
- If you don't want default users to be able to reserve the resource (or to invite you to meetings), make sure the checkbox is blank.

- When you're done setting scheduling rights, click the OK button to store them. They will become operational immediately.
