UIS Rapid Response Team Security Initiatives
Secure Laptop Exchange Program
Working with Confidential Data
|
What should I do before my secure laptop appointment?Once UIS staff have scheduled an appointment for laptop exchange, please conduct the following steps: 1. Identify existing ePI If you are already a user of electronic Protected Information or 'ePI' (what is ePI?), you must assess the information stored on your laptop and identify any current or archived ePI. Remember, UIS staff will be available during exchange to conduct further scanning of the data if necessary. 2. Decide whether you need the data Once identified, decide which data should be deleted or kept. If UIS finds further ePI during their scan of your laptop data, be prepared to decide there and then if you can delete it. 3. Place all your data in one folder In order to streamline the transfer process, organize your data (files and folders)under one easily identifiable folder on your desktop. For example, put everything you would like to keep in a desktop folder called "Exchange Data".
4. Note your individual software needs The secure laptops have the following applications already installed: - Microsoft Windows XP SP2 If your job function requires other software applications, UIS staff will reinstall them for you during your scheduled appointment. Make a note of these applications. If they are not widely-used, bring a copy of the software and any licensing information. 5. Application and System Settings Please identify any printers that you use, so that UIS technicians can reinstall these settings on your new laptop. You can do this by going to My Computer/Control Panel/Printers and Faxes
